Virtual Remote Executive Assistant
Key Responsibilities:
Calendar & Schedule Management:
Manage and organize executive calendars, including scheduling meetings, appointments, and travel arrangements. Ensure all appointments are confirmed and that executives are prepared for meetings.
Communication Management:
Screen and prioritize incoming calls, emails, and messages. Respond on behalf of executives when appropriate and ensure all important communications are addressed promptly.
Travel & Event Coordination:
Arrange travel logistics, including flights, hotels, transportation, and itineraries for executives. Coordinate details for events, conferences, and meetings.
Document & Presentation Preparation:
Prepare, format, and proofread documents, presentations, and reports for executive meetings, ensuring all materials are accurate, well-organized, and professional.
Task Management & Delegation:
Oversee daily tasks and ensure executives’ to-do lists are managed efficiently. Delegate tasks as appropriate and track progress to ensure deadlines are met.
Project Management Support:
Assist with the coordination of ongoing projects, monitor progress, and ensure deadlines are met. Keep executives updated on project status and any necessary follow-ups.
Confidentiality & Discretion:
Handle sensitive company and personal information with the utmost confidentiality and professionalism.
General Administrative Support:
Provide general administrative support, including managing email inboxes, preparing reports, conducting research, and handling other ad-hoc administrative tasks as needed.
Qualifications:
Experience & Education:
Minimum of 3 years of experience in an executive assistant or administrative support role.
Bachelor’s degree or equivalent experience is preferred.
Skills & Competencies:
Advanced organizational and time-management skills with the ability to prioritize tasks effectively.
Proficient with Microsoft Office Suite (Excel, Word, PowerPoint) and other productivity tools.
Excellent written and verbal communication skills, with the ability to represent the executives professionally.
Ability to manage multiple tasks and handle competing priorities in a fast-paced, remote work environment.
Proactive approach to problem-solving and exceptional attention to detail.
Strong interpersonal skills, with the ability to interact with individuals at all organizational levels.
Ability to work independently and exercise sound judgment in decision-making.
Language Requirements:
Must have the ability to speak English at a C1 level with minimal accent to communicate clearly and effectively over the phone with clients and the employer.
Must be able to read and write in English with a native tone, ensuring all written communication is professional and easily understood by English-speaking clients.
